DEPARTMENT POLICIES

The Department of Recreation at UC Santa Barbara is committed to creating a healthy and welcoming campus environment for all students, faculty, staff and community members. The following policies apply to all UCSB Students, Rec Cen members and visitors to any of the Department of Recreation facilities. Teens/Children are only allowed at our Aquatics Center during regular quarters Fall-Spring on Saturdays and Sundays from 10am-6pm. Teens/Children day passes are only sold to current Rec Cen members. The policies below apply to Family Summer Memberships when teens/children are allowed at other facilities. To view the Rec Cen individual policies, please click HERE to open the pdf document.

FORGOTTEN ID POLICY

To ensure efficient access to the Recreation Center, all patrons must scan their UCSB Access Card (students/faculty/staff) or Rec Cen ID (community members) at the front desk.

  •  A member may gain access by presenting a valid government-issued photo ID in lieu of their Access Card or Rec Cen Card up to 3x per academic quarter.  This alternate membership validation process is more time consuming and tends to create a back up for others thus the use limitation.
    Forgotten ID uses reset at the beginning of every academic quarter.
  • After three Forgotten ID uses, patrons will not be permitted access to the facility without scanning their UCSB Access Card or Rec Cen ID.

 Note: Children under 13 must have direct adult supervision at all times. Children 13 and older can come to the Recreation Center without a parent/guardian, but must still follow age requirements of each area. Guests 18 and older have all adult privileges.

REFUND POLICIES

All refunds are at the discretion of the supervisor of each respected program area. Please, review the refund policy for each program/service for further detail.

Refunds:

All refunds will incur a $20 processing fee.

Once offering is FULL:
    •   You will be offered a refund based on the timeline below only if someone pays for your spot.

If offering is NOT FULL:
     •   Up to 30 days before an offering, you may receive a full refund (-$20 processing fee).
     •   From 29 to 8 days before an offering, you may receive a 50% refund (-$20 processing fee).
     •   Fewer than 8 days before an offering, there are NO REFUNDS.

Transfers:

All transfers will incur a $10 transfer fee.
All transfers must be completed at least 8 days prior to the offering's first meeting AND be within the same quarter.


Once offering is FULL:
     •   You may transfer only if someone pays for your spot and you have paid the $10 fee.

If offering is NOT FULL:
     •   More than 8 days before an offering, you may transfer if you have paid the $10.
     •   Fewer than 8 days before an offering, you may transfer if someone pays for your spot AND you have paid the $10 fee.

You may fill out the Refund or Exception to Policy Request. Fill out completely (with supporting documentation) AND email both rtucknott@ucsb.edu AND djwise@ucsb.edu to let them know (or they will not know to look for your request).

Refunds will solely be provided under the discretion of the administrative supervisor, with no other exceptions. The granting of refunds will be contingent upon medical or exceptional circumstances. In case of medical issues, a doctor's note must be submitted within one week of the injury, while extenuating circumstances need to be communicated to the program coordinator within two weeks of the inability to attend class. All other refund requests will only be considered within the initial two weeks of each academic quarter (or the first week of recreation classes), and they will not be issued for conflicts in schedules.

All refunds will incur a $10 service charge with the exception of any refund given due to a class cancelation. For class cancellations, every effort will be made to contact participants using the information provided in their recreation registration account to initiate the refund process.

***There is a statue of limitations for claiming a refund. A claim for a refund must be requested within the same quarter the participant is enrolled.

***There will be no refunds for under age registrations for any of the beverage classes.

Class transfers can only be requested during the first two weeks of each academic quarter (the first week of recreation classes). 

Membership refunds are reviewed and granted only at the discretion of the administrative supervisor. Submitting a refund request DOES NOT GUARANTEE A REFUND.
 
All refunds are subject to the following policies:

  • Notification of refund status will be sent via email once processed.
  • Membership Refunds can NOT be transferred across programs/services.
  • Refunds for Day Passes are NOT AVAILABLE. 
  • 1 month, 3 month and 1 year Recreation memberships can be considered for a prorated refund for one of the following reasons, require documentation, and are subject to a cancellation fee of $20.
    • Termination of UCSB employment  
    • Transfer off-campus
    • Formal leave of absence and sabbaticals   
    • Changes in medical condition resulting in physical limitations 
  • If granted, memberships purchased via credit/debit card will be refunded to the original credit/debit card. 
  • If granted, memberships purchased via cash or check will be refunded by check. Check refunds, if given, take four to six weeks to process through university accounting. The refund will be sent to the address on file.

To maintain the Recreation Center, part of, or the entire facility, may be temporarily unavailable while repairs or renovations take place.  As a result of repairs, maintenance, or renovations, we may be required to restrict the use or temporarily close the facility. No refunds of membership fees or other charges will be offered. 

 

 

Cancellation and Tardiness

24 hours’ notice is required to reschedule the appointment. In the event of a no-show or cancellation via Signup genius or email to findyourfit@ucsb.edu within 24 hours, the session will be deducted from your package, or in the case of a single session, will be considered rendered and complete. Appointments are kept according to the scheduled time frame. Late arrivals to appointments will not extend session times.

Expiration date, Refunds and Credits

All UCSB Department of Recreation personal training sessions purchased will expire six months from the date of purchase. After said expiration date, any remaining sessions will be invalid. Sessions can be “frozen” for medical purpose only and require medical documentation. “Frozen” sessions will be held for one year after which time any remaining sessions will become invalid. UCSB Department of Recreation personal training does not offer refunds or credits.

 

The Department of Recreation, Youth Programs, has updated its Refund Policy. Refer to the information listed below to ensure a full understanding of our new Refund Policy. For any questions, you can contact the Youth Programs Coordinator at, camps@recreation.ucsb.edu. 

The parent or guardian's purchase of youth program offerings indicates understanding of all registration and refund policies, and agreement to abide by them. All refund requests must be submitted via our Refund, Transfer, and Add Services Request Form, and must be received by the Youth Programs Coordinator by the dates listed below.

Prorating is not available for any program.

Cancellation/Refund Policies

Swim Lessons

All refund requests must be submitted via the refund request Refund, Transfer, and Add Services Request Form, and received by the Youth Programs Coordinator by the dates listed below:

  • Refund Amount of 90%: Request MUST be received two months prior to the start of the purchased event/lesson.
  • Refund Amount of 75%: Requests MUST be received one month prior to the start of the purchased event/lesson.
  • Refund Amount of 50%: Requests MUST be received within one month to 15 days prior to the start of the purchased event/lesson.
  • Request Amount of 25%: Requests MUST be received within 15 business days of the start of the purchased event/lesson.

No refund the day of the event or lesson will be granted. If the UCSB Department of Recreation cancels a program, a full refund will be issued.

Junior Lifeguards, Spring Day Camp, Summer Day Camp, and Surf & Kayak Camp

All refund requests must be submitted via the refund request Refund, Transfer, and Add Services Request Form, and received by the Youth Programs Coordinator by the dates listed below:

  • Refund Amount of 90%: Request MUST be received three months prior to the start of the purchased session.
  • Refund Amount of 75%: Request MUST be received two months prior to the start of the purchased session.
  • Refund Amount of 50%: Request MUST be received one month prior to the start of the purchased session.
  • Refund Amount of 25%: Request MUST be received within 15 business days of the start of the purchased session.

No refund after the first Monday of the session will be granted. If the UCSB Department of Recreation cancels a program, a full refund will be issued.

Junior Lifeguards: All uniform sales are final. Boat & Raging Waters Trip fees involve prepaid reservations and are therefore not refundable.

Transfer Fee & Policy

All transfers must be requested via our Refund, Transfer, and Add Services Request Form no later than 4 business days prior to the start of the program offering, and are subject to a $15 transfer fee per session, per child.

  • No transfer requests will be granted once a session has begun.
  • The transfer fee(s) must be paid online via your account or at the Customer Service Center prior to the transfer being completed.
  • Transfers are based on space availability and are made at the discretion of the Youth Programs Coordinator.
  • Children may give their spots to siblings or step siblings ONLY. Programs are not transferable to anyone outside the family.

*Transfer requests for swim lessons must be received no later than 15 day prior to the start of your purchased session.*

Late Fee

We understand that problems and disruptions may arise during a parent or guardian's day that can throw off schedules. However, in order to compensate our staff for having to stay late, we assess a $15/quarter hour childcare fee for children picked up after operating hours. This amount must be paid online via your account or at the Customer Service Center prior to your child returning to our program.

Dismissal From Camp

There are times when children may be dismissed from programs due to psychological, emotional, or physical challenges or actions that preclude the child from participating safely or effectively in a group. If appropriate, this will result in a complete refund for the unused days. 

If a camper is dismissed for disciplinary reasons, there will be NO REFUND for the unused days.

Absences & Short-Term Illness

Refunds are not available for vacations, special events, short-term illness of four or fewer days, or other personal commitments that prevent attendance.

Extended Illness

A refund may be available for an extended illness of five or more consecutive program days. A doctor's note and written note from the parent or guardian explaining the situation must be received within eight business days from the first day of absence. Upon review, participants may receive a $25 per day refund for the unused days. For families needing to cancel registration(s) for medical or family emergency, please reach out to the Youth Programs Coordinator at camps@recreation.ucsb to discuss your specific situation.

Waitlist Procedure

If your child is on the waitlist and a spot opens, you will be contacted by email. If you do not respond within 48 hours, your child's spot is no longer guaranteed.
